Why Regulators Care So Much About Traceability

  • How long does the retrieval take? Hours suggest a working system. Weeks suggests reconstruction.
  • Does the heat number on the certificate match the mill report exactly?
  • Can they show which of their processes touched that lot, and when?
  • What happens to the record if the parts were split across two of your purchase orders?
  • How long do they retain records after shipment, and where are they retained?

A supplier with proper systems will find this request routine. One who gets defensive is telling you something.

Building Traceability Into Your Own Receiving Process

Your supplier’s records only help if you keep your side intact. Plenty of good documentation gets destroyed after delivery, on the receiving dock, by people trying to be tidy.

Simple habits protect it:

  • Keep lot numbers with parts through every transfer and repack
  • Record which lot went into which assembly, at the time of build, not later from memory
  • Store certificates digitally as well as physically
  • Never combine remaining stock from two lots into one bin, even when the parts look identical.

That last rule feels excessive until the day it saves you. Two batches of the same part number can behave differently. Same drawing, different heat, different processing history.
